Provider Portal Terms

Last Updated: September 13, 2026

1. Who these terms are for

These terms govern use of the provider portal at medstaffnationwide.com/provider (the “Portal”) operated by MedStaff Locum Tenens LLC, a Connecticut limited liability company, 93 Boston Post Road, Milford, CT 06460 (“MedStaff Locum Tenens,” “we,” “us”). The Portal is available only to healthcare professionals we have invited to join our locum tenens bench (“Providers”). By signing in you agree to these terms, our Privacy Policy, and our website Terms of Service.

2. Independent contractor relationship

Providers engaged through MedStaff Locum Tenens are independent contractors of MedStaff Locum Tenens, not employees of MedStaff Locum Tenens or of any facility. Your relationship with us is governed by the Independent Contractor Agreement you accept in the Portal and by each Assignment Confirmation you accept. Nothing in the Portal creates an employment relationship, and nothing in these terms modifies those agreements.

3. Your account

You sign in with a one-time link or code sent to your email address; there is no password. You are responsible for keeping that email account secure and for everything done through your Portal session. Tell us at once at locums@medstaffnationwide.com if you believe someone else has used your account. We may suspend or close an account that is inactive, used by someone other than you, or used in breach of these terms.

4. Accuracy of what you provide

Facilities rely on the credentials, licenses, work history, availability and hours you provide. You represent that everything you upload or enter is true, complete and current, that documents are genuine and unaltered, and that you will update your information promptly when it changes. Providing false or misleading information is grounds for removal from the bench and may be reported to licensing authorities where the law requires.

5. Electronic records and signatures

When you first use the Portal you are asked to consent to receiving documents electronically and to accepting them by clicking “Accept” or a similar button. That consent, and how to withdraw it or obtain paper copies, is described on the consent page and is recorded with the version of the text you agreed to. Documents you accept electronically are legally binding to the same extent as a handwritten signature under the federal ESIGN Act and Connecticut's Uniform Electronic Transactions Act.

6. Text messages (SMS)

If you opt in to text messages in your Portal settings, you agree to receive automated text messages from MedStaff Locum Tenens at the mobile number you provide about your assignments, timesheets, credentials and documents we need from you. Message frequency varies; typically a few messages a week during an active assignment. Message and data rates may apply. Consent to texts is not a condition of being placed on assignment. Reply STOP at any time to opt out and HELP for help; you can also change the setting in the Portal. We do not send text messages between 8 PM and 8 AM in your local time except in an emergency about an active shift.

7. Confidential and patient information

Facility information you see in the Portal (contacts, rates, schedules, orientation materials) is confidential to your engagement and may not be shared. The Portal is not a system for patient information: do not enter patient names, medical record numbers, dates of birth or any other protected health information into any field, including incident reports and messages. Patient-care documentation belongs in the facility's own systems.

8. Acceptable use

You may use the Portal only for your own engagement with MedStaff Locum Tenens. You may not attempt to access another person's data, interfere with the Portal, upload malicious files, or use automated tools to extract information from it.

9. Records, retention and your data

We keep credentialing files, accepted documents, timesheets and payment records for the periods our client agreements and the law require (generally at least four years, and seven years for financial records). Our Privacy Policy explains what we collect, how we use it, and your rights, including how to request a copy of your data or ask that personal details be removed after the retention period.

10. Availability and changes

We aim to keep the Portal available but do not guarantee uninterrupted access. If you cannot reach the Portal before a shift, use the contact details in your Assignment Confirmation; a person will help you. We may update these terms; material changes are announced in the Portal and take effect when you next sign in.

11. Governing law

These terms are governed by the laws of the State of Connecticut. Any dispute about the Portal itself will be resolved in the state or federal courts located in New Haven County, Connecticut; disputes about an engagement are governed by the dispute provisions of your Independent Contractor Agreement.
